When you are planning a party or an event, there are certain things that everyone will talk about making it easy to plan them. From picking a venue to choosing the menu for food and drinks, most professionals would be careful with checklists helping them out to prepare for all possibilities. However, when you are into event planning, it is good to realize sooner rather than later that there are small things, ideas and nuances which can make a big difference in how an event is eventually perceived. For a start, it is important that the venue isn’t hard to find. This can be achieved in two ways. You need to print the map of the venue with reference to a well-known landmark on the back of the invitation card.

While planning a party, you should also make sure signage, banners or poster boards are set up to direct the guests to the right location. In some cases, when multiple parties are going on at an exotic resort, you have to be doubly careful to avoid a fiasco, with noticeable sign boards and bold lettering guiding your guests all the way from all the routes. A professional way of event planning of a high profile would be to create formal badges and handing them out to the members to prevent intrusions. It is important to attach parking tickets to the guests or have an agreement with the venue management to use the invitations or guest passes for reference.

When you are planning a party, weather has a big role to play when it comes to how your guests feel. In searing heat, even the best food doesn’t please the guests and on a cold evening, a warm soup or a drink readily served can please them a lot. Make sure you put yourself in your guests’ shoes and think if they are driving a long distance early in the morning or arriving after a long day’s work to plan how to make them feel good. Event planning is about having a good time but it also starts with courteousness. The management of the venue should be aware of it and you should have staff to politely usher the guests, show them the seating space and offer refreshments to the guests from time to time. This is also a good way of preventing guests from bombarding the bar counter or the refreshment counter.

Fun activities like poker or line dancing, karaoke or bingo could be used as ice breakers. However, when you are planning a party, you have to pay careful attention to the profile of the guests and choose fun events accordingly. What is fun for a 25 year old might be ridiculous for a 50 year old and vice-versa. Early in the event, it is good to have an experienced stand-up comedian or a mimicry artist to lighten up the mood and get the guests in the act. Lastly, the guests have to be pampered with great aromas, soothing lighting and decoration, great music and lovely look and feel in the form of carpets, comfortable seating or posh invitations.
