PowerPoint presentations can be a valuable tool when a person is speaking to an audience. Unfortunately, many speakers do not understand how to use PowerPoint presentations to their best advantage. By following the tips below, however, anyone who has a verbal message to deliver will be able to effectively tame the PowerPoint monster before it devours their next public speaking opportunity. First, every speaker should remember that the audience is there to hear a presentation as opposed to watching a slideshow. The PowerPoint slides should only illustrate and expand on the speaker’s presentation, not supplant it. Therefore, you should thoroughly plan and outline what you are going to say and then prepare the PowerPoint presentation to help the audience visualize your message. Second, remember that the PowerPoint presentation is a supplement to your verbal message and not a crutch. Practice communicating your verbal presentation in an interesting, well-modulated tone. Do not fall into the trap of reading the PowerPoint slides to your audience. They will be bored and the power of your message will be seriously diluted. Third, the PowerPoint slides should be easy for the audience to read. Speakers should avoid filling the slides with large, chunky blocks of text. Dark text on a light background is usually easiest to read, but light text may be used against a dark background. Sans-serif fonts, such as Arial or Helvetica, that are at least 24 point in size are the easiest to read on a screen. Titles or labels on the slides may be in a larger font, such as 35-45 points. Although different colors, sizes and styles (such as bold or underline) of text can be used for impact, caution should be exercised when incorporating special effects, such as animation, into PowerPoint presentations. Special effects often prove to be more of a distraction than an addition to a presentation. Fourth, because the audience can read faster than the speaker can present, the PowerPoint slides should be timed so that what is on the screen is in harmony with the verbal message. Speakers should consider utilizing bullet points in the PowerPoint presentation so that one new point will be revealed as it is reached. This technique will prevent the audience from reading the speaker’s message on the screen and then losing interest before the speaker has verbally moved beyond the first point. Finally, every speaker should remember to practice the speech in combination with the PowerPoint presentation before the time of the formal presentation. Using a wireless mouse will allow the speaker to move more freely and naturally during the presentation. When these simple suggestions are followed, PowerPoint presentations become powerful visual aids that improve the communication between a speaker and an audience. Furthermore, most speakers will discover that their verbal presentations are both more effective and less stressful when they incorporate these tips into their presentations.
