How to Choose a Hotel for your Conference

Conferences are a key part of life in both the public and private sectors. They range from simple sales meetings that last a day to week long residential events with speakers and presenters galore. But whatever type of conference you may be involved with, you'll find it to be a complex exercise in project management.

There are so many factors you need to get right for the smooth running of a conference event - setting up the right audio visual equipment, organising food and drinks, making sure everyone has a pen and pad, for example.

One thing that can make your job much easier is to have the cooperation of an expert at your conference venue who can take care of all the details at that end freeing you up to focus on the actual conference itself. For this reason, it's always best to hold your conference at a hotel which is equipped with everything from conference rooms, presentation facilities and food and beverage facilities. Here's your guide to choosing the right hotel for your next conference or meeting.

If you're looking to organise a conference in the UK, there are a number of questions you'll need to answer from the outset.

Choosing the right venue is the key decision that will determine whether your conference is a rousing success or a bit of a flop. Ultimately, the choice of venue will hinge on your conference budget but here are some basic guidelines.

Firstly, the matter of location is of key importance. Your hotel has be conveniently located for all attendees. Holding your conference in a major city near your place of work is a good idea as travel connections are likely to be good. Organising a conference is a complex task and there's nothing more frustrating than waiting for a venue owner to get back to you quickly over some query or quotation. Ideally, you need a reply to any query within 24 hours. Any longer than this and you should look for other venues.

There's nothing more time wasting and frustrating than running around trying to find the person in charge of a particular function at the hotel. Having one single point of contact makes your work far easier and is critical for the smooth running of your conference.

Next, you need to look at the facilities provided. The types of facilities needed for a conference are many and varied and include everything from the rooms themselves to the furniture to audio visual equipment to food and other refreshments. Let's look at them in turn.

Firstly, the rooms need to be of an adequate size and be comfortable. Take a look at the layout of the meeting rooms. Your attendees are going to spend hours in these rooms so you should consider matters of decor, lighting and heating. Then there's the matter of furniture. Sitting in a conference room for hours on end demands proper seating. And of course there needs to be adequate toilet facilities.

The level of audio visual equipment you'll need depends on what is to be presented. But you need to be confident that the hotel can provide everything you may need from flipcharts and notepads to modern AV equipment.

Conferences can be demanding and tiring affairs and the prompt arrival of refreshments is a must. This covers such things as snacks and coffee to full meals.

Finally, you need to consider the environment outside the conference room. Do the guest rooms at the hotel offer some form of hi-speed Internet, preferably. Delegates will need to work and communicate during the days of the conference and effective Internet services are essential. Quality accommodation ensures quality conferencing.

Then there's the matter of leisure. Away from the meetings and other events, your attendees will want to relax. This means you need to choose a hotel with adequate leisure facilities. These range from health and fitness facilities such as gym, spa and swimming pool, to cocktail lounges and cafes.

If you're lucky, you'll find a hotel that treats both conference organizer and participants as individual guests and has the flexibility to provide everything from small meetings to residential conferences. Then you'll know you've found a winner that you'll want to come back to again and again.
