To further raise the bar of customerservice, the company knew it needed to tighten communicationbetween the 2,000 employees at its Mexico City central offices and its widely dispersed offsite staff of fieldservice, customer service and sales representatives. At headquarters, employees used an on-premises corporate messagingsystem deployed on Microsoft Exchange Server 2007. However, offsitestaff had no access and would typically use their personal emailaccounts to check in with supervisors. The lack of standardizedemail communication decreased their productivity. "Company news didnot reach offsite employees in a timely manner, and it often wasincomplete or received too late to be useful," Ortega said. "Ouroffsite employees felt disconnected from the decisions made in ourcentral offices." The IT team first considered expanding the company's ExchangeServer 2007 environment, but storage limitations and the demands ofmanaging additional infrastructure discouraged them. They consultedMicrosoft advisors, who suggested using the kiosk version ofExchange Online to extend their email environment to a cloudservice. "The kiosk version is designed for 'deskless' workers, sowe felt it would be a good fit for our offsite employees, many ofwhom cover a lot of territory," Ortega said. Cablemas leaders also liked the idea of using a hybrid environmentmade up of its existing servers combined with cloud services. Aftercomparing the offerings of Google and other vendors, they selectedExchange Online because they could build on their establishedrelationship with Microsoft, whose products and services theytrusted. Employees already knew how to use Microsoft technologies,and the IT staff knew how to manage them. To expedite the deployment, Cablemas turned to UNIKA, a member ofthe Microsoft Partner Network that knew the process. UNIKA used asoftware connector to link the company's Exchange Server 2007 withits cloud service. Since it already used Microsoft ForefrontSecurity for Exchange Server to help protect its corporatemessaging environment against malware and viruses, the companyselected Microsoft Forefront Online Protection for Exchange. Through its new hybrid messaging environment, the company can nowinform all offsite employees of corporate decisions, educate themabout marketing strategies and provide them with tools to respondmore quickly to customers. "Today, customer-facing employeesusually have the answers in front of them, and when the need doesarise, they have a more efficient way to reach out," Ortega said. By subscribing to Exchange Online at a fixed monthly rate, Cablemasavoided both a substantial hardware investment and the need to hireadditional IT staff. "I'm supporting both our on-premises andonline messaging environments with the same staff as before, whichis pretty impressive," Ortega said.
